The Salem Group is looking for an experienced Executive Administrative Assistant supporting the Executive Director of the Foundation.


Job Description:

  • Maintain and prioritize the CEO’s daily schedule and annual calendar; exercise appropriate judgment in referring callers/inquiries to the CEO or to other staff. Maintain contact with CEO via email and voice mail. Coordinate CEO’s travel with Governance & Operations Division. 
  • Implement and utilize planning, tracking, and auditing procedures to provide effective administrative support/service to the CEO and to the Executive Office. 
  • Maintain and ensure confidentiality of all written and verbal communication initiated by the CEO. 
  • Confirm all Boards, Committees and NetWorks members are properly entered into the JAVA database. Upon completion of this project, review downloaded data for errors. After download information has been audited, work with outside vendor to create a pdf version of our Leadership Directory. 
  • Responsible for maintaining the Conflict of Interest database for all leadership and staff, including a mass emailing to all participants each spring, plus follow up to new members as they are added throughout the year. 
  • Provide administrative support to the Executive Director. 
  • Provides support to the acting Presidents and their assistants, including their biweekly agenda, travel, registration & housing for various meetings, etc. Maintain Presidential/CEO calendar.

Job Requirements

5+ years of experience supporting Executive level

Experience working in a Mac computer environment

Proficiency in Microsoft Office software suite (Word, Excel, PowerPoint) required

Expertise with PDAs and computerized calendar software programs required; Apple devices/services preferred
