Job Description

The main objectives of the Maintenance Manager position are to manage multiple maintenance and enhancement crews, providing leadership, training, quality control, and support, attained through effective teamwork, and customer service. Teamwork expectations include to lead, positively motivate, and effectively manage a team of diversified maintenance foremen, leadmen, and laborers during both the landscape and snow removal seasons, and be a key member of the management team, actively participating in facility staff and committee meetings, planning, budgeting, and company decision making. Important quality control procedures include routing, scheduling, and monitoring crews to attain budgeted profit goals, ensure quality on properties according to contracts and Acres standards, and utilizing current administrative systems such as timesheets, billing documentation, work orders, labor reports, and other reporting. Also, provide recruiting assistance and effectively manage equipment including allocation, inventory and oversight of maintenance and safe operation. Customer service expectations include ensuring quality on properties according to contracts and Acres standards, assist salesepeople in generating sales on accounts to meet budgeted sales goals, maintain sufficient contact and communication with property managers and board members, and resolve problems and handle complaints. Employee development includes industry, equipment and safety training. The Maintenance Manager maintains a positive image for Acres in the field and in the industry.

 

 

 

 

 

• Motivate and supervise a diversified group of maintenance foremen and crews on a daily basis.

 

• Train crews and ensure their safety. Continually work toward the development of future foremen, leadmen and managers.

 

• Monitor job costs on a monthly basis and make adjustments as necessary in order to meet established goals. Train foremen on the job cost process. Assure that all jobs (contracted and enhancement work) are completed with quality results and properties are maintained at a profit.

 

• Ensure overall quality of the work on each property, including attending to the details, through property walks with site foremen and/or property managing agents/board members.

 

• Inspect and monitor each property and contract to ensure the proper amount of service is given to each account in order to facilitate contract renewal and customer satisfaction.

 

• Establish goals and deadlines received from all sales work orders and service requests as appropriate.

 

• Plan weekly and daily activities in advance to ensure appropriate crew coverage under all weather conditions, and develop a contingency plan in order to make adjustments in a timely manner.

 

• Enforce all Acres policies and procedures relative to uniform usage, alcohol issues, safety, and other handbook items, and discipline subordinates as necessary in conjunction with the Human Resources Department.

 

• Conduct performance appraisals and set goals for subordinates.

 

• Conduct property walks on a timely basis in conjunction with the salespeople as necessary in order to maintain the appearance of each property , satisfy customer expectations, and reach budgeted "extras" goals.

 

• Provide pertinent information and communicate priorities to the Chemical Manager to facilitate appropriate scheduling of work, i.e., maps, service and garbage days, special requests (such as houses to skip), etc.

 

• Identify opportunities, in addition to the formal property walks, and communicate the potential of proposals for plant replacements, flowers, insect/disease spraying, property upgrades and other "extras" work, to the appropriate board members, especially landscape committee members.

 

• Establish and maintain a professional working relationship with the property managers, including sustaining regularly scheduled contact and communication with them. Said relationship must also be established with appropriate board members, especially landscape committee members.

 

• Execute and submit accurate and timely paperwork, including timesheets, billing documentation, work orders, weekly and/or monthly property reports, labor reports, and other documents that are required.

 

• Attend board meetings with another staff member as required to maintain and/or sell accounts.

 

• Handle customer complaints with tact and promptly resolve them in order to ensure constant customer satisfaction and to facilitate contract renewal.

 

• Identify problem areas. Make suggestions and assist in implementing solutions in conjunction with the senior maintenance manager and VP of Maintenance Operations. Our goal is to identify and solve problems before the client is aware of their existence.

 

• Work closely with Shop Supervisor for maintenance and upkeep of all equipment assigned to you and your crews.

 

• Conduct monthly truck/trailer inspections and in field safety inspections to ensure equipment is adequately cared for and utilized as distributed. Maintain and be responsible for accurate inventories.

 

• Actively participate in snow program planning and the snow readiness process, including snow meetings for Acres employees and subs, worker training and certifications, etc.

 

 

 

 

 

• At least 3-5 years supervisory and/or management experience including the proven abilities to develop and work within a budget, and analyze and interpret job cost reports.

 

• Landscape maintenance field experience including the ability to operate all equipment used by the maintenance crews.

 

• Certified knowledge of snow removal operations and equipment.

 

• Operator license for trees, shrubs, and turf desired; horticulture degree preferred.

 

• The capacity to drive to all work sites and conduct daily tours and visual inspections of work performed and in progress. The work sites include areas yet to be graded, seeded or sodded, areas with varying turf heights and textures, all sizes and shapes of shrubbery, bushes, flower beds, etc.

 

• Excellent verbal and written communication skills and customer service orientation.

 

• Ability to effectively coordinate and complete numerous activities simultaneously, possibly under changing weather conditions with limited resources.
